Volume 4, Issue 1 Volume 4, Issue 1, mailed to members

Volume 4, Issue 1, features several articles and items about Doswell Virginia, an important crossing located between Richmond and Fredericksburg. In addition to the historical profile written by William E. Griffin, Jr., this issue features a first time contribution by member Joel E. Hoffman titled “Louisa’s Revenge, or How the Future CSX Litigated Its Way From Doswell to Richmond.” These two articles complement each other nicely and provide an in-depth look at how railroads interacted with each other in the early 19th Century. Included with the issue are the following items:

The Society has commissioned a run by Atlas of 150 each of numbers 903 and 906, each painted in the red as they were repainted, without any of the safety slogans applied. The Company Store Manager took possession of the run on February 10, 2008. They will debut at the March 8-9, 2008 Greenburg show in Fredericksburg, Va., but are available for sale at this time.

Price is $30 for one, $55 for both. See the Company Store for the order form. Paypal will go live on February 12, 2008 as a payment option.

Society to have table at Greenberg's Fredericksburg show March 8-9, 2008

As at the last four Greenberg (Great Train Expo as the interlude name, they have returned to the Greenberg name) shows in Chantilly, the Society will again be represented with a table at their new location in Fredericskburg, Va., on March 8-9, 2008.

The Company Store will be present, with the new cabooses in hand, as well membership. Look for the banner and drop on by if you are coming to the show. Volunteers willing to help staff the table greatly appreciated, but it is ok just to drop in and say "hi" too!

A 1st Quarter 2008 meeting will NOT be held

Unfortunately, we were not able to locate a meeting place that could accomodate us, so we did not schedule a 1st quarter meeting. As noted below, a flyer with the 2nd, 3rd & 4th quarter meeting dates and places will be included in the next issue of the newsletter. We hope to see everyone on May 17th.

Note that the Society will be at the March 8-9, 2008 Greenburg show in Fredericksburg, Va - members who may be visiting that show are encouraged to drop by for a while, and table volunteers will not be turned away.

3rd Quarter 2007 meeting sees record turnout

42 members and 6 guests attended the 3rd Quarter Meeting at the Salem Church Library, including 15 members who attended their first meeting, including two who joined that day. The Company Store was in business, selling at least 7 Society shirts

Society gains 21 new members at the ACLSALHS convention

The Society was represented by Ron Herfurth and Jim Musgrove at the ACLSAL Society convention in Richmond on June 28-July 1, and saw 21 new member applications taken. Thanks go out to these gentlemen for representing the Society.

Society turns 2

Monday, May 14, 2007 marks the 2nd anniversary of the formal creation of the Society.

In two short years, the Society has seen the membership grow from 30 to 300, the creation of the Society Archives, the filing of Articles of Incorporation with the State Corporation Commission, the granting of 501(c)(3) exempt organization status by the IRS, publication of eight quartlery issues of "Linking North and South" and growing attendence at the quarterly meetings.

Reminder: Society to be at GTE Chantilly on Dec 30-31 and GSMTS Timonium on Feb 3-4, 2007

Reminder that the Society will be represented with a table at the Great Train Expo show at the Dulles Expo Center on Saturday December 30, and Sunday December 31.

28 attend 2006 annual meeting, 70+ return ballots

The highlight of the day was a Question and Answer period with Jack McGinley and Wilbur Morris, but the day saw at least 28 members and 3 guests attend the 2006 Annual Meeting. The elections ballots were tabulated, with more than 70 members having either returned a ballot by mail or in person, at least a 31% response rate based on 225 members.

The CS was open, debuting the new Mousepad, and showing off a zippered hooded sweatshirt with the Society logo on them, as well as a Hat with the RF&P script (as used in the Society Logo).

Thanks go out to Ron for manning the CS, the Andersons for counting the ballots, Andrew Morris for running the powerpoint presentation, and to Bill Sheild and Jim Musgrove on providing the drinks and food. Among the displays on hand were several sets of authentic RF&P Conductors uniforms that Russ Dolbear had acquired. Also on display was a G scale F-7 painted in the RF&P as-delivered scheme, as well as an O scale representation of business car 100, complete with interior.

New members joining late in a calendar year will be assumed to be joining for the following year unless stated otherwise on their application.

This results in two options for late 2006 into 2007:

  1. Pay a single amount for 2007 only or
  2. Pay $40 for regular membership for 2006 AND 2007

Option 1 will mean only issues for 2007 will be delivered, but back issues could be purchased through the Company Store
Option 2 will entitle the new member to the 2007 issues AND to all four issues from 2006 at the membership dues rate, saving off of the cover price and not being subject to Va Sales tax. This option also means no renewal notice as the rest of the 2006 members will receive with Volume 2, Issue 4.

For 2006 and 2007, dues levels are as follows:

Any amounts above $30 will be recorded as a donation to the Society. Since the Society is a 501(c)(3) exempt organization, any amount in excess of the $20 regular dues is a tax-deductible contribution.

Annual Meeting nears

Just about 5 weeks left until the 2006 Annual meeting date. There will be a selection of light breakfast items available beginning at 9:30am, with formal meeting starting at 10am. The Officer Reports and Business Session is scheduled from 10 to 10:45, followed by an hour of presentations. Lunch will be from 11:45-1pm with more presentations from 1-3pm. Formal adjournment will be at 3:30pm, but the meeting room will be open until 4:30pm for those who want to talk to other members. Several guests have been invited, so with the exception of lunch, the times above may vary a bit. The Company Store will be open and the Society election results will be reported.

A quick note for those mailing ballots in: November 10th, the day before the annual meeting, is a Federal holiday, with no mail delivery. So, please mail your ballot in time so it can be delivered to the PO Box by Thursday, November 9th, 2006.

Volume 2, Issue 4 of the newsletter will be mailed out to all 2006 members by October 21, 2006. In addition to the issue, the envelope will contain member renewal notices and the 2006 election ballot with return envelopes for both, meeting notes from recent EC and General membership meetings, and a Company Store flyer.

5 New members gained at PY 100 event

The unveiling ceremony for a commemorative plaque at the site of Potomac Yard on September 30, 2006, yielded 5 new members for the Society, pushing the total membership to 218 as we enter the fourth quarter of 2006. The event was sponsored by Potomac Yard Development, LLC, and featured Alexandria's Mayor and Congressman, in addition to past employees, superintendents and presidents of the Railroad. About 60-70 people in total were in attendance.

CS on the road for the first time at the GTE Chantilly train show on 8-27-06: Shown in the picture is the CS Manager, Ron Herfurth, and on display are the Society's banner, back issues of the Newsletter, and the Wilkerson print. Keith was on hand manning his own table, and graciously lent us the original painting for display during the show, and has a standing offer to repeat it anytime he is at the same show as the Society.

    Annual Meeting set for November 11, 2006

    The Society's 2006 Annual Meeting is set for Saturday, November 11, 2006, at the Salem Church Library on Salem Church Road in Spotsylvania County, Virginia.

    Formal notice of the meeting will be sent with Volume 2, Issue 4 of the newsletter to the membership, including the election ballots, instructions, and the wider debut of the Company Store.

    Society exceeds EOY 2006 Membership Drive goal of 200 members

    Thanks to the exposure of the Society table at the GTE Chantilly Train Show on 8-26 & 8-27, the Society crossed the 200 member mark for 2006. New revised goal for EOY is now 250.

    29 members present for 3rd Quarter 2006 meeting

    The Society met again at the Salem Church Library for its 3rd quarter 2006 general membership meeting of the Society. 29 Members were present to witness the opening of the Society "Company Store" (further details to appear on this page as the CS order form is brought online in the near future).

    The EC Met for a short time afterward, setting a next EC meeting date of September 30th.

    The next meeting will be on Saturday, November 11, 2006 at the Salem Church Library.

    July membership goal of 150 members has been reached!

    The membership goal of 150 paid members by July 1 has been reached, and with two weeks to spare! A check of the PO box on 6-15 yielded two more new members, enough to push over the hump.

    As of July 7, 2006, the Society has 170 members, the breakdown being 115 regular and 55 sustaining.

    The end of year goal is 200 members, so there is work yet to do!

    Society's 501(c)(3) Tax-exempt Status confirmed by IRS Letter

    The Society received its 501(c)(3) determination letter from the IRS today, June 9th, 2006, with the effective date being the Society's date of Incorporation, 2-2-2006.

    Society gains 6 members at 2006 Manassas Railfest

    The Society had a table at the 2006 Manassas Railfest on June 3, 2006. At least 7 members were spotted at the Society table, and a few more were present amongst the model clubs and vendors. In addition, 6 new membership applications were taken, and a hundred or so brochures were given out.

    Society Logo adopted

    The Society adopted this logo as the Society logo at the 2nd quarter meeting, 2006. It will be used on Society letterhead and correspondence, but it will not preclude use of other historical RF&P logos by the Society. It may also be used on company store items - stay tuned as the Company Store is finalized by the EC.

    The Society Webmaster accidentally uploaded a draft "Company Store" subpage into the root directory three nights ago, on May 14th. The main index (this page) has been restored. The Company Store page will not go live until after the on the ground one debuts at the August 19th regular meeting of the Society.

    Society turns 1 year old!

    Today, May 14, 2006, marks one year since the adoption of Bylaws. One year where we have seen the membership progress from 20+ who paid at that meeting, to 133 members, many of whom paid for 2005 and 2006. We have seen ourselves incorporate, and apply for 501(c)(3) exemption from the IRS, and publish four newsletter issues to the membership.

    Way to go members for the accomplishments of the first year. On and ever upward for year #2!

    2nd Quarter 2006 sees 32 members attend

    The 2nd Quarter meeting was held at the Salem Church Library on Saturday, May 13, 2006. 32 members joined together for much less business, and more fun and presentations.

    Afterward, the EC met, along with the Model Editor in attendance, primarily discussing the Company Store.

    Today marks 11 months since the Society was born, and the formal announcement for the 1st Birthday Party (otherwise known as the 2nd Quarter 2006 Membership Meeting) is at hand:

    We are Incorporated!

    The Articles of Incorporation that were adopted by the Society at its November 5th, 2005 annual meeting were accepted by the Virginia State Corporation Commission on February 2nd, 2006. Henceforth, we are the Richmond, Fredericksburg & Potomac Railroad Historical Society, Inc., a non=profit corporation.

    Archives formally established, with some base procedures as recommended by the Archivist and the EC
    The first "Company Store" items were approved, subject to procedures and parameters to be worked out by the EC.

    1st Quarter 2006 meeting this Saturday, January 21, 2006

    We have reserved a room at the Salem Church Library in Spotsylvania County for Saturday, January 21st, 2006 for the Society's 1st Quarter 2006 general membership meeting. There is a built-in projector for computer program presentations such as powerpoint or slide-shows. There is an area that lends itself to having food delivered or set up. The room will be available from 9:00 to 5:30.

    We plan to meet between 10:00 and 5:00, though if anything like the last couple, things will break up between 3 and 4. The 9:00 to 10:00 time can be used to set up displays, etc. and then the 5:00 - 5:30 will be for the clean up.

    Lunch will be BYO or by local establishments between 12 and 1. Bill Sheild will have sodas on hand, but the Andersons will be absent, so coffee is BYO.

    Charter deadline passed

    A note that the postmark deadline for charter membership has passed. A final tally of the number of charter members will be announced after all reasonable time for postal delivery has passed, or likely about the time of the 1-14-06 EC meeting. As of this writing, the number of charter members was up to 113, with 5 brand-new 2006 members.

    Also, as of 1-14, all but 47 of the 113 possible renewals had already been received.

    2006 Renewal notices mailed December 19th

    A note that 2006 renewal notices have been sent out to members of record as of December 17th (This represents up to member number 203). Note that if you have already renewed, or paid for 2006 at the same time as 2005, you will not receive a notice.

    The renewal deadline to retain charter status is January 31, 2006. This is a postmark deadline. Note that the renewal deadline is after the January 21, 2006 meeting, and that renewals will be accepted at that meeting if you prefer.

    2006 Membership cards will not be mailed out until after the January 31 deadline, so that they may be done all at once. If an email address is provided, an email acknowledgement of receipt of renewal will be sent prior to the 2006 membership cards.

    2006 Dues remain same as 2005: $20R, $30S; Last call for Charter Membership

    One of the actions taken at the Annual Meeting 2005 was to keep the dues level the same for 2006, at $20 regular or $30 sustaining. Any dues received on the 2005 application prior to 12-31-05 will be counted as 2005 dues and charter status, with the applicant receiving both issues of Volume 1. That member will receive a renewal notice at the time the membership does, with renewal being due postmarked prior to 1-31-06 to retain charter status. The quick renewal may be avoided by sending in 2005 and 2006 at the same time, $40 for regular membership or $60+ for sustaining membership.

    If you do not wish to pay for 2005, be sure to mark out the 2005 on the application, and clearly mark "2006 dues" on your check, so your dues will not be miscredited.

    Members may renew early prior to the renewal notices -- simply mark an application "renewal" box along with your membership number, and return to:

    1st Quarter 2006 meeting set for January 21, 2006

    We have reserved a room at the Salem Church Library in Spotsylvania County for Saturday, January 21st, 2006. There is a built-in projector for computer program presentations such as powerpoint or slide-shows. There is an area that lends itself to having food delivered or set up. The room will be available from 9:00 to 5:30.

    We plan to meet between 10:00 and 5:00, though if anything like the last couple, things will break up between 3 and 4. The 9:00 to 10:00 time can be used to set up displays, etc. and then the 5:00 - 5:30 will be for the clean up.

    Lunch will be BYO or by local establishments between 12 and 1. The Andersons will have Coffee, and Bill Sheild will have sodas on hand.

    21 members attend 2005 annual meeting

    A robust crowd attended the 2005 annual meeting at the Salem Church Library in Spotsylvania.

    Next meeting is January 21st, 2006, at the same Salem Church Library.

    Each incumbent acting officer was elected unanimously on 11-05-05 to serve for 2006:

    Volume 1, Issue 2 Issue 2, election ballots in members hands

    Issue 2 has been mailed to all paid members. Enclosed were several items, including the 2005 election ballot for 2006 officers.

    Some notes about returning the ballot:
    IF YOU CANNOT ATTEND THE ANNUAL MEETING: Make sure your ballot is returned such that it gets delivered to the Society Post Office Box by the 1st of November. Ballots that arrive in the box up to Friday, November 4th, will be counted. It is important you mark the outside of the envelope "Elections" or "Ballot Enclosed" in some fashion.

    TO THOSE WHO WILL BE PRESENT ON 11-5: You have the option of mailing your ballot ahead of time, or turning in your ballot at the start of the meeting on 11-5. In person ballots must be in an outer envelope as if mailed.

    IF YOU JOINED SINCE 10-11-05 and did not receive a ballot in the mail: You may still vote in person on 11-5, and a blank ballot & envelope will be available to you.

    26 attend 3rd Quarter meeting

    The Society held its 3rd Quarter 2005 meeting at the Salem Church Library on Saturday, August 20th. 26 people, including 24 members, gathered for discussion about the RF&P, the direction of the Society and about railroad history in general.

    Meeting dates were set for 2006: 1st Quarter: January 21 (snow date Jan 28); 2nd Quarter: May 13; 3rd Quarter: August 19; 4th Quarter/Annual: November 11.

    Next meeting is the annual meeting to be held at the Salem Church Library on Saturday, November 5, 2005.

    Volume 1, Issue 1 Volume 1, Issue 1 mailed to paid members on July 27

    Issue was mailed out by first-class mail on Wednesday, July 27th to those who had paid by July 23rd. It can be expected to arrive by Monday, August 1.

    Content already being solicited for Issue 2 and beyond. Email the Editor at newsletter@rfandp.org if you have ideas for content or are willing to write/collect content. Also wanted is a "Model/Modeling Editor" to help the overall editor out in this department, as his experience is limited.

    Charter Membership deadline set: December 31, 2005 postmark cutoff

    The Executive Committee has set a postmark deadline of December 31, 2005 for those that pay 2005 dues to be considered Charter members in the Society. Any membership application postmarked after this date will be considered as being paid for 2006. The Amounts for 2006, however, will not be set until the November 5, 2005 Annual Meeting.

    All that pay in 2005 will receive both 2005 issues of the newsletter regardless of when they join.

    First Executive Committee meeting held on June 11, 2005

    The first Executive Committee meeting of the Society was held on June 11th, 2005 at the home of the Secretary in Manassas, Virginia. The five executive officers plus the Membership Chairman met to discuss the direction of the society, and nail out some procudures for its administration.

    Further details to follow, but one of the prime determinations was to make all who pay 2005 dues before the end of the year charter members.

    May 14, 2005 sees Bylaws adopted, officers elected for remainder of 2005

    The group met at Salem Church Library in Spotsylvania County, Va., once again, and proceeded to jabber about the RF&P, hold enough business to set dues, adopt bylaws, select acting officers to serve until elections at the annual meeting, and collect dues from those present.

    For those unable to be there in person, the regular dues were set at the minimum of $20 for the remainder of 2005, with the sustaining level being at least 50% above the regular rate, or thus $30. The 2005 Membership application can be found here in Word or in PDF format.

    The last item of business was to formally approve the expenditure of $41 for the post office box. There was a long break for lunch, and we finished with a slide program presented by Robin R Shavers.

    Acting officers elected on 5-14-05 to serve remainder of 2005:

    Jim has accepted temporary newsletter editor, and hereby solicits material for such. Email him at newsletter@rfandp.org. George Payne volunteered to be Membership Chairman. He can be reached by email at membership@rfandp.org.

    Rob has been pegged to continue as webmaster, but there were two volunteers to help keep things updated. Look for some redesign in the near future.
